Who we are
Evolt Body Scan Hire is a division of Listen To Your Body Essendon, operated by Zemia Pty Ltd ATF The Zemia Trust (ABN 82 620 640 915), 113 Keilor Rd, Essendon VIC 3040. In this policy, "we", "us" and "our" means Zemia Pty Ltd ATF The Zemia Trust, trading as Evolt Body Scan Hire.
We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). This policy explains what we collect, why, and what you can do about it.
What we collect
We only collect what we need to run hires and answer enquiries.
Website contact form: your name, email address and message.
Booking form (Calendly): your name, email, business name, phone number, type of business, pickup or delivery, delivery address, number of people being scanned, and how you heard about us.
Emails and phone calls: anything you tell us when you contact us.
Invoicing and payment: the details needed to invoice you, receive the bond by bank transfer and refund it.
Scan results
People scanned on a hired EVOLT 360 get their results through the EVOLT app (EVOLT Active). That data is held by EVOLT under its own privacy policy and sits between the hirer, the person scanned and EVOLT. We do not access individual scan results.
How we use your information
To take and manage your booking, including pickup or delivery.
To send tax invoices, receive and refund the bond, and keep business records.
To reply to your questions.
To ask you for feedback or a review after a hire.
We do not sell, rent or share your details for anyone else's marketing.
Who we share it with
We use a small number of service providers to run the business:
VentraIP (VIPsites), which hosts our website in Australia.
Calendly, our booking system, based in the United States.
Google, for reCAPTCHA, Google Maps, Google Search Console, our Google Business Profile and our email (Google Workspace/Gmail).
Xero, our accounting software.
Some of these providers store information outside Australia, including in the United States. We choose reputable providers, but their own privacy policies also apply.
We may also disclose information where the law requires it.
Cookies and third-party services
Our contact form uses Google reCAPTCHA to block spam, and our contact section may show an embedded Google Map. Google may collect information about your device and browser through these, including through cookies, under Google's own privacy policy.
Our booking page is run by Calendly, which uses its own cookies and may record which link you used to reach it (for example, campaign tags in a link from one of our emails).
We use Google Search Console to see how our site performs in Google search. It shows overall search figures and doesn't track individual visitors.
You can block or delete cookies in your browser settings, though some features (like the contact form or booking page) may not work properly.
Keeping your information safe
We take reasonable steps to protect your information from misuse, loss and unauthorised access. We keep booking, enquiry and invoice records only as long as we need them for the hire and to meet our tax and record-keeping obligations.
Access and correction
You can ask to see the personal information we hold about you, or ask us to correct it. Email support@evoltbodyscanhire.com.au and we'll respond within a reasonable time, usually within 30 days.
